The letter below was sent to all GN attendees on Monday June 26th

Hello attendees of the 2017 Grand National Rally,

Now that summer is upon us, the 2017 Grand National can’t be far behind. We hope you are all as excited as your Rally Committee is about enjoying all that New Orleans has to offer, as well as the great festivities the Committee has put together: Food, educational seminars (including Geeks on Tour classes with free to you “one-on-one” consulting), New Orleans style entertainment, raffles, a Grand Prize worth over $500.00 . . . and did we mention Food?

In May the Committee, along with several members of the hosting Tennessee Travelers chapter, spent a week at Pontchartrain Landing and we made many of the last minute arrangements necessary to make this a very special Rally. Several contracts were signed and menus were committed to. The negotiations on these contracts required funding from the 100 registrations that we had set and met.

The refund policy on both the paper and the online registration form states “I understand that refunds for rally fee minus any un-recoupable expenses, will be made to those who are unable to attend due to serious illness or emergency”.

Nothing has changed.  However, we are now under contractual obligations (un-recoupable expenses) for entertainment, educational seminars, meals, etc. Our budget is tight and we will be unable to determine if we will actually have funds left over until the Rally is complete.

As a result of these contractual obligations, from this point on we will not be able to calculate or issue refunds until the Rally books are closed. However, we are continuing to advertise the Rally and if someone has to cancel, and we are able to replace that registration with another one, we will gladly issue a refund at that time. In fact two members who recently cancelled were issued refunds because we were able to replace their registration with a new one.

We understand life happens . . . especially at this stage.  Rest assured your Rally Committee is doing all they can to run a fun filled event and if you do develop a serious medical problem or have an emergency and must cancel, we will hopefully be in a position to refund some or all of your money.
